Terms and Conditions

The intention behind these terms and conditions is to establish a clear working relationship between you and me. After reading them, the way I run Pete Gentry Editorial will be fully understood. As a Professional Member of the CIEP, I also abide by their Code of Practice; I make sure I offer a professional service at all times and complete my work to the highest possible standard. 

My terms apply to the services I offer, detailed here. The precise service I provide will be agreed upon by you and me prior to the commencement of work. You are not obliged to offer me any work and I am under no obligation to accept a project. 

Any work I do will be carried out unsupervised, using my own equipment and at a time and place of my choice. I confirm that I am a sole trader, am registered as self-employed with HMRC, pay income tax and NI contributions and am not registered for VAT.

Quotations and fees for projects

Each project is different so my rates reflect this; please get in contact with me for an individually tailored quotation. This will be based on the length of the text (number of words), a sample (I reserve the right to request this should I feel it is necessary) and your individual requirements/brief. The quotation will also either be based on an hourly rate, a rate per 1,000 words or a flat fee for the whole project. The minimum I will charge will be £20.00.

You and I will need to agree on the format, how I will complete the job, a start date and when I will return the work by. We will also agree on any additional expenses that you will bear, for example, postage.

If, once I have received the project or at an early stage, I find that a lot more work is required or there is another issue with it, I reserve the right to renegotiate the fee and/or deadline (this is also the case if you request additional tasks). If I come up against personal difficulty and I think I may not be able to return your work to you by our agreed deadline, I will inform you as soon as possible so we can decide how to proceed.

By agreeing to my quotation, you are accepting these terms and conditions.

Invoicing and payment

An invoice will be produced and sent to you on completion of my work. Payments should be made within 30 days of submission of this invoice (unless agreed otherwise at the outset) according to the Late Payment of Commercial Debts (Interest) Act 1998 (amended 2002 and 2013).

I accept cheque, bank transfer or PayPal; details of your preferred payment method will be sent to you with the invoice.

For lengthy projects, I reserve the right to request a deposit at my discretion.

Students

It is your responsibility to ensure that your institution permits the use of an outside editorial professional. If your university or college has any guidelines associated with a student employing a proofreader or editor, please send these to me. You can provide me with a web address for, or a copy of, any such regulations. The consequences for you could be very serious if you do not follow these rules.

To avoid the risk of my intervention adding to or changing the meaning of your work, your project should be submitted to me ONLY when it is at the stage of completion. I will NOT rewrite your text, or reduce or increase the word count of it (other than small reductions or increases as a result of my changes). Instead, I will make suggestions using 'Track Changes' in Microsoft Word or annotations on PDFs or paper.

If there are guidelines for the style of your written material at your institution, please pass these on to me so that I can check that you have followed these. These could be to do with heading formats, quotations, references, bibliographies or footnotes, to name some examples. 

Plagiarism is a very important issue so if I find this in your work, I reserve the right to cease proofreading or editing your project. I also reserve the right to charge for any work that I have already undertaken.

Please ensure that you send your text to me in good time so that I can return it to you at least a day before your deadline. You can then go through each of my suggested changes to either keep or ignore them. The final responsibility for any changes made to your project lies with you as it should be entirely your work.

Privacy policy/GDPR

My Privacy Policy explains how I collect, use and store data, and how I comply with the General Data Protection Regulation (GDPR).

Finally...

The nature and content of your work will be kept confidential. Under the Data Protection Act 1998, you and I may keep on record any necessary information about each other, for example, contact details. We may view each other's records to check they are still correct, relevant and up to date.

When you send your project to me to work on it is still entirely owned by you. Any content created by me as part of the proofreading/editing process will become the copyright of you.

This agreement is subject to the laws of England and Wales and both you and I agree to submit to the jurisdiction of the English and Welsh courts. Both you and I have the right to cancel a project if there has been a serious breach of these terms and conditions.
